International Travel Gateway

The International Travel Gateway supports NC State students traveling abroad for non-credit bearing, University-affiliated purposes. Students traveling internationally for a conference, research, service-learning project, honors/scholars group, student club, athletic team, NC State Arts, or other similar activity must enter their travel details into the Gateway (REG 02.55.01) for the following health and safety support. The process takes only a few minutes and should be completed at least 4 weeks before departure.

  • Emergency Response Services: Registering your travel allows our Emergency Response Team to reach you and provide incident assistance in the event of an emergency.
  • Access to AlertTraveler: The Gateway provides students access to a security notification and communication system called AlertTraveler.
  • International Health Insurance: You will be enrolled in low-cost, comprehensive international health insurance that includes telehealth, mental health care, and evacuation services.
  1. Login through the Gateway portal above to enter your travel dates and destination.
  2. Review the U.S. Department of State advisory for your intended location(s). If you plan to travel to a Level 3 or 4 location that urges travelers to reconsider travel and you still hope to travel, please review the University’s Restricted Travel Policy and submit your registration 6 weeks before your departure date.
  3. Provide emergency contact information, upload a photo of your passport if you are able, and download AlertTraveler.

Details and Process

  • International Health Insurance: After submission, NC State Global will send you a confirmation email and complete international health insurance enrollment. Student travelers will receive insurance information via email before departure, and the insurance charge (approximately $1.50/day) will be available through the Cashier’s Office.
  • Visa/Immigration Appointments: If you need a visa appointment, please plan ahead to make sure you have the necessary insurance documentation. We ask that you inform our office at least two weeks before needed.
  • Departmental Support: If a department or other party wishes to pay the insurance bill on the student’s behalf, they may do so via Third-party Student Sponsorships (GA-1 form). If you have any questions, email sponsorbilling@ncsu.edu.
  • Who should not register?
    • Non-Credit Activity: The Gateway is only for non-credit-bearing travel. Students participating in traditional study abroad are automatically registered through their study abroad application and do not need to utilize the Gateway.
    • Personal Travel: Students traveling for personal reasons (such as vacation) should not submit a record in the Gateway.
    • Faculty and staff: should not submit travel through the International Travel Gateway. Faculty/staff should refer to the Controller’s Office Travel Center and may obtain business traveler’s insurance through the Office of Insurance and Risk Management.
  • Canceled Travel: If your travel is canceled for any reason before or during the travel dates in your application, notify us at Intl_gateway@ncsu.edu as soon as possible. If you fail to notify us before the itinerary end date, you will still be responsible for paying the full amount of your insurance bill. Deleting your itinerary will not cancel your travel or the associated insurance enrollment and charge.

International Group Travel

International Group Travel: If you are a faculty/staff leader and traveling internationally with a group for non-credit activities, please email a roster of NC State student travelers, using the Travel Gateway Template to intl_gateway@ncsu.edu. Our office will then create individual registration applications for your students. Once this process is complete, student travelers will be directed to log in to the Gateway and finalize individual details.

For student groups, we strongly recommend that the travel organizers develop a Comprehensive Safety Assessment. Any third-party coordinating entity should be able to provide details of travel support, risk mitigation, and emergency response plans. If you

Restricted Travel Policy

Following the Restricted Travel Policy, all students traveling to countries with advisory levels of 3 or 4 with the CDC or U.S. State Department must petition for travel. Entries that require a petition for approval should be submitted 4-6 weeks before departure. For groups, a  Comprehensive Safety Assessment can be submitted together with the petition.
